Making your emails stand out – without getting tangled in spam filters – takes just a little attention to detail. But it’s not as difficult as you might think. Here’s a quick round-up of some of the most important factors to consider.

Making your emails stand out – without getting tangled in spam filters – takes just a little attention to detail. But it’s not as difficult as you might think. Here’s a quick round-up of some of the most important factors to consider:

1. Craft Human-Centric Content:

First things first – write like a human, not like a robot. Personalize your emails, drop in some names, and keep the tone conversational. Avoid ALL CAPS and excessive exclamation points!!! Use friendly language and avoid sounding too 'salesy.'

2. Avoid Attachments:

Spam filters can be triggered by emails with attachments. For example (as you'll see in the templates), you're much better off using links to your VO demos in the body of your emails and/or in your auto signature. It's a smoother, less suspicious way to share information.

3. Offer Opt-Outs:

Realize that not everyone wants to keep getting your emails forever. Respect that and give them an easy way out. It's not just polite; it's the law. (Besides, there's no point in sending email to folks who don't want 'em.) Plus, it’ll help keep your email street cred intact.

4. Respect Spam Laws:

Speaking of laws, be sure to abide by rules like CAN-SPAM (which requires that senders give their physical address, not use misleading information, and must make it easy for users to opt out) and GDPR (which says that emailers must protect the personal data they collect from users).

5. Use a Double Opt-In Signup Form:

Imagine this as a friendly handshake before entering someone's inbox. After someone signs up, send a quick confirmation email, just to make sure that you’re both on the same page. This step ensures that your audience genuinely wants to receive your emails, creating a vibe of consent and respect.

6. Use Accurate and Engaging Subject Lines:

Use subject lines that are honest and intriguing, but don't be deceptive. Misleading subject lines annoy people and can set off spam alarms. Subject lines that include words, like "free" or "urgent," can trigger spam filters too. Be creative without sounding like a salesperson. Be clear, interesting, and be real. (Sounds a little like VO specs, doesn’t it?)

7. Avoid Email Content That Uses Words That Trigger Spam Filters:

Certain words set off spam filters like alarm bells. Words like "urgent," or "guaranteed" might sound catchy, but they could land your email in the spam folder. Find that sweet spot between creativity and clarity. Use language that excites without triggering spam filters.

8. Keep an Eye on Your Sending Frequency:

Nobody likes that friend who won't stop texting. The same goes for emails. Bombarding your subscribers can lead to annoyance and potential spam reports. Find a rhythm that works for both you and your audience, and stick to it.

9. Keep Your List Fresh:

A stale email list is like week-old bread – not appealing. Regularly clean out inactive or bouncing email addresses. It's good for your deliverability, and it guarantees that you're connecting with an engaged audience who wants to hear from you.

10. Monitor Your Analytics:

Good email performance is worth its weight in gold. Keep an eye on open rates, click-through rates, and bounce rates. Analytics tools are your compass, guiding you as you go, and helping you adjust your strategy when needed.

Remember, sending emails is about building relationships, not just ticking technical boxes and making sales. Keep it friendly, genuine, legal and respectful, and your emails will find their way into inboxes with ease. Happy emailing!
